Kadence has rebuilt its Visitor Management System (VMS) as a fully integrated, AI-enabled module within its workplace operations platform, aiming to automate visitor workflows and strengthen real-time visibility across multi-site, hybrid offices. The new VMS consolidates self-service kiosks, QR-based check-in, document capture (including NDAs and waivers), host notifications, and centralized visitor logs into a single governed system that feeds directly into Kadence SpaceOps, turning visitor movements into operational signals alongside employee attendance data. This positions visitor activity as a core component of workplace intelligence, improving insight into external foot traffic, peak arrival times, and guest-driven space demand—capabilities particularly relevant for enterprises operating lean front desks and minimally staffed locations.
The system enables employees to invite guests via Kadence AI directly from Microsoft Teams or Slack, eliminating separate tools and manual coordination, while supporting global governance with local configuration to standardize workflows without sacrificing site-level flexibility. Security, workplace, and IT teams gain audit-ready records and real-time visibility to support compliance, emergency response, and incident management, while enterprises can offer consistent, on-brand arrival experiences at scale. CEO Dan Bladen framed the launch as a response to customer demand for more scalable and intelligent visitor tools, aligning with Kadence’s strategy to be a central operating layer for hybrid workplaces.
